Productivity in a company is highly sensitive communication used.
This past week, I have been teaching techniques productivity in a company and one of the points that most caught my attention is the indiscriminate use of email.
This company, using email as a primary means of communication, even for urgent matters, which created a sense of "I have to look at the email each 10 minutes "if my boss or a client sent me an email of extreme urgency.
No tool that enhances productivity over email, even if misused can shred performance anyone.
The time a person takes to reach peak concentration in complex tasks is between 3 and 5 minutes. What it means ,if I have a break every 10 minutes caused by myself, staring email or by other, my productivity graphically be like a roller coaster.
These basic rules of communication trigger the productivity of a person in a company:
- Phone: Use the phone only for urgent matters, difficult to explain in text or sensitive issues.
- Chat: Any type system WhatsApp, chat over Skype or other professional should be used for small issues that can respond quickly and response time may vary only between 5 and 30 minutes. Namely, not for very urgent matters or extremely important.
- Email: obviously this system is used only for topics that do not require an immediate response, namely, for which they can respond after 1 the 2 hours.
There are other mixed formulas is telling the person by chat or phone when we sent an urgent email, but the key is that we use NEVER mail only to matters of utmost urgency and wait for the other we respond immediately.
All this seems trivial and common sense, but the day drags us and we create habits, often stupid, destroying our productivity.
